Clinic website and booking app: separate tools or one system?
Many clinics hire a web designer, subscribe to a booking app and add a chatbot from a third vendor. Here is how that compares with one connected system, including when separate tools are the better choice.
Most clinics put their online presence together one piece at a time. A designer builds the website. Later, someone adds a booking app with a "Book now" button. Later still, a chatbot widget appears in the corner. Enquiries arrive by form, phone, Instagram and WhatsApp, and end up in a spreadsheet or someone's head.
That approach can work well. Each tool can be very good at its own job, and you can swap any piece out. The cost is in the gaps between them: information typed in three places, questions nobody can answer about which enquiry became a patient, and three vendors to call when something breaks.
Velvet Lead takes the other approach. Your website, online booking, AI assistant, lead inbox and reminders are one system with one admin panel. This page compares the two approaches fairly, so you can decide which suits your clinic.
| Topic | Separate designer, booking app and chatbot | Velvet Lead |
|---|---|---|
| Who you deal with | Usually three or more vendors, each with its own contract and support | One team for the website, booking, chatbot, setup and support |
| Treatments and prices | Often entered separately in the website, the booking app and the chatbot | Entered once in the admin panel and used by the site, booking and assistant |
| Where booking happens | Depends on the app: an embedded widget or a page on the provider's domain | On your own website and domain, in your brand |
| Chatbot's knowledge | Depends on the vendor; may need its own copy of your information | Answers from your treatments, prices, hours, offers and uploaded documents |
| Chatbot and availability | Varies; a connection to the booking app may or may not exist | Checks live free times and links to the booking page; never books by itself |
| Where enquiries go | Spread across form emails, the booking app, chatbot logs and DMs | One lead inbox with the source and campaign tags of each enquiry |
| Which enquiry became a patient | Hard to join up without manual work or custom integrations | Leads link to their bookings; reports break down by source and campaign |
| Online payments and deposits | Many booking apps offer them; check the provider's current features | Not available yet; patients pay at the clinic |
| Choice and flexibility | Pick any designer and any tool; replace one without touching the others | One product built for one-to-one clinic appointments at one location |
| Setup work | You coordinate each vendor and connect the pieces | We build the site, load treatments and schedules, train the chatbot and launch |
We compare approaches, not specific companies. For any provider's current features and prices, check their own website.
How the separate-tools approach usually works
A typical setup has three parts. A web designer or agency builds the site, often on a general website platform. A booking app handles the calendar. A chatbot vendor provides a widget that answers questions. Each part is chosen on its own merits, often at different times.
The strength of this setup is choice. You can hire the designer whose work you love, pick the booking app with the exact features you want, and change any of them later. If one vendor raises prices or shuts down, the other pieces keep working.
The weakness is that none of the pieces were designed to know about each other. When you add a new treatment or change a price, someone has to update the website, the booking app and the chatbot. When a price is out of date in one place, a patient notices.
Where the gaps between tools show
The gaps are rarely obvious on day one. They appear in ordinary weeks, in small ways that add up.
- A patient asks the chatbot about Saturday, and it can't see the booking calendar, so it suggests they call.
- An Instagram campaign brings enquiries, but the booking app doesn't know which ones came from it.
- A form enquiry sits in someone's email while the same patient books through the app, and nobody connects the two.
- The website says one price, the booking app shows another, and the chatbot quotes a third.
- Something stops working and each vendor says the problem is on the other side.
How one connected system works
With Velvet Lead, your clinic website, booking flow and AI assistant read from the same place. You set a treatment's price, duration and clean-up time once in the admin panel, and the treatment page, the booking calendar and the assistant all use it.
The assistant answers from your own information and can check live free times, then send the patient a link to book. It doesn't give medical advice and never books on its own; the patient confirms on the booking page.
Every enquiry, whether it comes from a form, a consultation request, the chatbot, a booking, a phone call or a social media DM entered by your team, lands in one lead inbox with its source. Because leads link to bookings, reports can show which sources and campaigns turned into appointments.
Confirmations and reminders go out by email and, for patients who opt in, by WhatsApp. If an appointment is canceled or moved, the old reminder is dropped automatically.
Costs: compare the whole picture
We don't publish other vendors' prices, because they change and differ by plan. If you are weighing the two approaches, add up everything the separate-tools route involves: the designer's build fee and any ongoing maintenance, the booking app's subscription, the chatbot's subscription, and any integration or automation tools that connect them. Check each provider's current pricing page for accurate figures.
Then add the time your team spends keeping three systems in step. Compare that total with our pricing, which covers the website, booking, assistant, lead inbox, reminders and reports together.
Who each approach tends to suit
Separate tools suit clinics with specific needs that a single clinic-focused product doesn't cover, clinics that already have a website they are happy with, and teams with someone comfortable managing several vendors.
One connected system suits owners who want patients to read, ask, book and get reminded in one place, and who would rather not coordinate a designer, a booking app and a chatbot vendor. It fits clinics where a patient books one-to-one time with a practitioner at one location, from aesthetic clinics and dental clinics to physiotherapy clinics and new clinics starting from scratch.
Which is right for you?
An honest answer
When Velvet Lead is the better choice
- You are tired of updating treatments and prices in several places.
- You want the chatbot to know your real free times and send patients straight to booking.
- You want every enquiry in one inbox, with where it came from and whether it became a booking.
- You would rather have one team set up and support the whole thing than coordinate several vendors.
- Your patients book one-to-one time with a practitioner at one location, and pay at the clinic.
- You want email reminders plus WhatsApp for patients who opt in, with outdated reminders dropped automatically.
When separate tools are the better choice
- You need patients to pay online or leave a deposit when they book. Velvet Lead has no online payments or deposits yet.
- You run group classes, such as yoga, pilates or antenatal classes. We handle one-to-one appointments only.
- You have several branches and want them on one website. Velvet Lead is one location per website.
- You need rooms or machines scheduled as well as practitioners. We only schedule practitioner time.
- You need SMS reminders. We send email and WhatsApp only.

- You already have a website you love and only need a calendar added to it.
- You want full control to pick, change and combine every tool yourself.
FAQ
Common questions
Can I keep my current website and just use Velvet Lead for booking?
Velvet Lead is built as a complete website with booking, the assistant and the lead inbox working together, on your own domain. If you are happy with your current site and only need a calendar, a standalone booking app may suit you better.
Is one system always cheaper than separate tools?
Not always, and we won't claim it is. It depends on which tools and plans you would choose. Add up each provider's current pricing and your team's time, then compare with our pricing page.
Does the Velvet Lead chatbot book appointments?
No. It answers questions from your clinic's own information and can check live free times, then gives the patient a link. The patient always confirms on the booking page.
What if I need online payments later?
Online payments and deposits aren't available in Velvet Lead yet. If taking payment at booking is essential for your clinic today, a booking app that offers it may be the better fit.
